2. Listening Skills

 Good communication requires good listening skills. Good listening leads to easy communication. 

Define the process of listening.

The process of listening involves:

  • hearing
  • decoding
  • comprehending
  • retaining 
  • responding
Stages of Listening 
Stage 1 : Start with a message
Stage 2 : Transmitter encodes the message
Stage 3 : Basic Communication process, Encoded message is transmitted
Stage 4 : Encoded message is received
Stage 5 : Receiver decodes the message

Hearing is a physical act. Words sent out by the speaker are received. They are then further processed by the listener.

Decoding involves sensing and filtering of the verbal messages that are heard. Decoding is a conscious act.

Comprehending is understanding the meaning of the filtered message. This act is known as absorption or assimilation. The message at this stage has been heard, sensed, filtered and interpreted. This act of interpreting, requires listener's own knowledge, experience, perception and cognitive ( understanding) power. Besides grasping the meaning of the verbal message, the non-verbal message has also to be studied and noted. 

Retaining is also known as remembering. Messages that are received are usually not for immediate consideration and action but for future use. Although absorption takes place in the present time., It's usage takes place sometime in the future. Memorizing the message therefore assumes significance. Retaining or remembering is a process that stores the assimilated message in memory to facilitate recalling sometime in the future. 

Responding takes place at the end of the verbal communication or may be even earlier. Responding is a way of providing feedback to the communicator which usually takes place at the end. If however, there is need to seek clarification or need to empathize with the speaker, responding may take place earlier. This may take the form of prodding, prompting or reassuring the speaker that the message is well received. 

Listening Tactics:
  • Observe the speaker's behaviour and body language
  • Summarize the whole then break it up into sections
  • Note key words and phrases
  • Take notes
  • Get closer to the speaker
  • Turn off distractions
  • Personalize the message
Barriers in listening:
A barrier is anything that comes in the way of communication.
  • Physical barrier - noise interference, environmental distractions
  • Physiological barrier- fatigue, ill health, hearing impairment, speaker's accent and pronunciation.
  • Psychological barrier- personal biases or opinions.
  • Overload of message - too lengthy, not logically sequenced.
  • Selective listening - tendency to ignore something you don't want to listen to.
  • Limited attention span - lesser time of concentration than the normal.
  • Poor retention- not being able to retain much of the information received.
Overcoming Listening Barriers:
  • Develop a desire to listen.
  • Make a conscious effort to focus attention on the speaker and the message.
  • Listen to both verbal and non-verbal message.
  • Listen to understand not oppose.
  • Listen to the entire message, do not interrupt.
  • Do not mix emotions with listening efficiently.
  • Judge content, not delivery.
  • Be flexible, adjust with organisational pattern of the speaker.
  • Fight distractions.
  • Listen between the lines - note the non-verbal language used.
  • Anticipate what's coming next.
  • Try to understand from the speaker's point of view.
  • Use positive body language to listen effectively.
  • Ask questions. Provide feedback.
Misconceptions about Listening:
  • Listening and hearing are the same.
Incorrect- Hearing is accidental, involuntary and effortless while listening is focused, voluntary and intentional 
  • Listening is easy and comes naturally.
Incorrect- Listening requires concentration. The brain processes meaning from words and sentences. This is a conscious act. Listening is therefore an acquired skill. Active listening implies using listening tactics and strategies.

Types of Listening:
1. Empathetic listening- to provide emotional and moral support.
2. Critical listening- to understand and evaluate.
3. Content listening- to understand and retain.
4. Attentive listening- to get all parts of the message.
5. Evaluative listening- to analyse, interpret and select appropriate information.
6. Focused listening- for specific information.
7. Appreciative listening- for entertainment and pleasure.
8. Superficial listening- having little awareness of what is being said.

Comprehension is :
1. Making sense of words.
2. Constructing meaning from text.
3. Connecting ideas between text and prior knowledge.
4. Grasping the significance of what is heard or read.

Comprehending strategies:
1. Making and checking predictions
2. Asking and answering questions
3. Paraphrasing and summarizing important information
4. Identifying topic sentence or theme of the text
5. Checking cause and effect
6. Differentiating fact from opinion
7.Making inferences
8. Comparing and contrasting
9. Sequencing ideas
10. Drawing conclusions


Activity:
Evaluate your listening skills: Always/ sometimes/ never
1. I concentrate on what the speaker is saying.
2. I stay focused even when the subject is difficult to understand.
3. I focus on content not delivery.
4. I listen with an open mind.
5. I take notes as a way of active listening.
6. I wait till I understand the whole message and then respond.
7. I listen for ideas and themes, not isolated facts.
8. I listen to both verbal and non- verbal messages.
9. I listen to understand from the speaker's point of view.
10. I make a conscious effort to listen.
